Your role at St John of God Subiaco Hospital
The Administrative Assistant is responsible for providing a highly professional standard of reception and a comprehensive admission and clerical support service to hospital clientele, caregivers and the health care team.
The Position
Answer telephone and desk enquiries using a pleasant, courteous and professional approach, and assist where possible or refer the enquirer to the appropriate caregiver. Welcome patients on admission and provide room orientation as appropriate. Complete all relevant admitting and discharge procedures (including boarders) and complete documentation. Maintain responsibility for the management of all patient health records associated with patient admissions, transfers and discharges for the ward or area. Ensure patient health records are accurately collated and returned to PHIS Department within 24 hours of patient discharge during weekdays or as soon as possible on Monday for discharges over the weekend. Ensure Patient Administration system data is updated accurately and continuously. Co-ordination of bed transfers between other wards and holding bays using BAS (Bed Allocation System)Arrange follow up appointments for patients with medical practitioner’s rooms and/or other allied health professionals. Update caregiver rosters on rostering system database on a daily basis or as requested. Train new and relief Administrative Assistants and orientate new medical and nursing caregivers to the clerical requirements of the wardCommunicate and liaise with nursing and medical caregivers on ward information including emails, new policies and proceduresLiaise with nursing and medical caregivers regarding enquiries, appointments etc. Enter nurse pagers into the Nurse Paging System. Order and maintain stationery supplies. Assist with word-processing as required by the Nurse Manager/ward. Other clerical duties as required and as per specific ward/department duty list (located in ward/department manual). All other reasonable duties as directed by the relevant Manager/Supervisor
You will have previous experience in administrative assistant roles, advanced word processing skills with experience in and knowledge of a range of MS Office packages and data reporting systems. You will demonstrate the ability to work independently and prioritise workload to achieve effective and efficient administrative services
To succeed you will possess excellent office system organisation skills, well-developed written and verbal communication and customer service skills. You will have the ability to work effectively with a range of stakeholders, and have the ability to work within and contribute to a cohesive team environment

We can offer you
Salary: $64,355 to $69,469 (pro-rata for part time), plus 11% superannuationA permanent part time position, working 30 hours a fortnight.
