About the role: As the Executive Assistant at Arkeus, your role will be pivotal in supporting the CEO. Your exceptional organisational skills and talent will be instrumental in streamlining their day-to-day activities, allowing them to focus on strategic decision-making and leadership responsibilities. You will be entrusted with managing their schedules, coordinating meetings, and ensuring that all administrative tasks are handled efficiently. Your proactive approach and ability to anticipate needs will significantly ease the workload of our CEO, enabling them to lead the company more effectively. In this dynamic role, you’ll have the unique opportunity to synchronize your work schedule with our CEO’s, who frequently engages in international travel. This not only enhances your global exposure but also ensures that you’re providing the most effective support to our CEO, no matter where in the world they might be. About you: You have a forward-thinking and dependable nature, always ready to act with an optimistic outlook. Your communication skills are clear and adaptable, capable of adjusting your tone to suit any audience. You demonstrate a keen understanding of business and are well-versed in commercial matters. In a dynamic environment, you have the capacity to juggle multiple tasks and prioritise them effectively. Lastly, within the ever-changing landscape of a startup, your role will be diverse with ample room for advancement, and you embrace this with a mindset focused on continual growth. You possess the adaptability to modify your work schedule as needed. Key responsibilities: Active Assistance: Facilitate a seamless experience for the CEO by taking the initiative in managing their calendar, schedule, communications. Anticipating and addressing the CEO needs before they surface. Communication and Correspondence: Oversee inbox management, ensuring daily monitoring and swift action as necessary. Act as a liaison with internal and external stakeholders on behalf of the CEO, demonstrating a firm grasp of their communication style. Draft, revise, and proofread reports, presentations, and general correspondence. Meeting Facilitation: Prepare meeting agendas and briefings, and record minutes. Coordinate actions and ensure deadlines are met. Process Improvement: Identify potential improvements to company-wide systems and processes, striving for increased efficiency. General & Administrative Duties: Responsibilities include managing office supplies and equipment, liaising with relevant vendors, and overseeing and reporting on expenses for the CEO. Event and Travel Management: Organise and coordinate domestic and international travel, including flights, accommodations, and transportation. Prepare travel itineraries, lead the coordination of Exhibition and Demonstration events, including planning, registration, and attendance at Trade Shows. Special Projects: Support the CEO with various projects, conducting research and providing assistance as required. This may encompass drafting marketing content or exploring new opportunities. Your experience and skills: Demonstrated expertise as an Executive Assistant or in a similar capacity, providing support to leadership roles. Outstanding organisational abilities and time-management skills. Superior written communication skills, with the capability to create refined and influential messages. Proficiency in Microsoft Office and Xero. A positive outlook that flourishes in a fast-paced environment. The capacity to swiftly adjust and adapt to shifting priorities. Possession of a Bachelor's degree in Business Administration, Commerce, Accounting, or Communications, or 3 years of relevant professional experience.
