Job Description
The Office Administrator and Secretariat Support Officer's primary role is to manage the day to day running and provide support to maintain the functioning of Resolution Institute. The aim of the role is to develop, implement and maintain processes to ensure the efficient running of Resolution Institute and support the delivery of quality services to our members and customers.
The role also provides secretariat support to the Resolution Institute Board, supporting the CEO in their role as the Company Secretary. Reporting directly to the CEO, the role involves confidential, high-level information as well as engagement with various internal and external stakeholders.
This is a diverse, hands-on role which requires professionalism, interpersonal skillfulness, energy, and attention to detail.
ResponsibilitiesOperational Supporto Oversee and implement administrative processes and policies to ensure the smooth running of the officeo Providing support to finance, assisting with budget preparation, expenditure tracking and processing invoiceso Supporting member committees –coordinating meetings, papers, minutes, action items, o Manage the Content calendar and website updateso Assist with phone and email support as requiredo Provide administrative support for the Learning Management System (as needed)
Executive, Board and Committee Supporto Ensure appropriate governance arrangements are in place and observed, including ensuring review dates for Terms of Reference and related documents and that any amendments are appropriately authorised and communicated.o Create and amend documents as required, including compilation of annual report and our member journalo Assist with co-ordinating project resources, creating and maintaining project documentation including reporting on project statuso Coordinate working groups, committees and consultations to facilitate exchange of information as requiredo Support the establishment and management of member baDispute Resolution panelso Manage meeting planning, preparation, capture of minutes and publicationo Manage meeting action item delivery and reporting requirementso Co-ordinate and oversee management of eventso Manage travel arrangementso Manage allocated inboxes and related correspondence, including media enquiries and submissions
Qualifications• Experience in a similar role / relevant field with a successful track record • Experience in dealing with confidential information, and demonstrated capacity to maintain confidentiality and professional standards of behaviour in difficult and sensitive circumstances • Well-developed interpersonal and liaison skills, including excellent communication skills with a range of senior stakeholders • A working knowledge of the Microsoft Office suite of products, with the ability to learn new software applications
