Construction Coordinator/Administrator & Personal Assistant to Managing DirectorOwnit Homes Pty Ltd one of Queensland’s large project builders, is seeking to appoint a Construction Coordinator/Administrator and Personal Assistant to the Managing Director, to join a highly motivated office to assist in the day to day running of the construction side of the business.
This role is directly related to the construction arm of the business where the ability to work towards deadlines efficiently as well as a strong eye to detail will see you excel in this assistant role. The ideal candidate will demonstrate excellent organisational, be able to multitask and have excellent communication skills. The right person will be rewarded with an attractive salary commensurate to your experience.
The successful applicant will have experience in a similar role & will demonstrate the following skills & qualities:• Knowledge of Framework software advantageous (but not essential)• Understand construction process & systems• Proficient with all Windows based operating systems• Strong attention to detail• Data entry• The ability to multi-task & work to deadlines • Some knowledge in accounts procedures• IT knowledge beneficial
The job will include but not limited to:• Separating files from admin to construction• Co-ordinating & managing supervisors• Receive from certifier frame & final inspections• Typing dictations as they arrive to office• Creating handover packs with job specific documentation• Answering phone calls & liaising with clients, trades, suppliers & other team members• Assist with renewals of supplier agreements & trade WPH&S documentation• Data entry for business / construction branch dashboard for an overview of job stages • Maintaining the construction office manual (at least yearly) with updates as required
Tasks for Personal Assistant (pending experience):• Assist with QBCC, QCAT preparations & communications• Assist with special business projects as they arise• Assist with communications & follow-ups with suppliers & trades as the need arises• Documenting & record keeping of events which impact the build duration, quality or client relations • Ability to handle confidential information• IT support internally & liaising with the external IT provider
Construction experience preferred but not essentialFulltime Monday to Friday in office role (no hybrid working arrangements)Fun office with people of all ages
